What are job roles?

Job roles are a way of grouping similar job titles together. For example, if you have three chef job titles that are all at the same level, they can be grouped under the job role 'Chef'.Job roles are used in career mapping and succession planning but they also play a role in Explore Learning.

If you have job roles set up and Explore Learning switched on, our system will recommend resources to learners based on what other learners with the same job role are interacting with.

Setting up job roles

Section 1: Details

This is where you specify the main information that makes up the job role, including To help surface the most relevant training, you can associate Explore Learning tags directly with Job Roles.

 

Section 2: Competences

Note: Competences are optional. If you simply want a career map visual, you can skip this part.

  • Select the Enable weighting customisation toggle if you wish to set a percentage against each competence, which, in total, must add up to 100%. Employees would ideally have to match the percentage you have set in order to be considered suitable for this job role.
    • Note: you can make this an even number between each or if one competence is more important than another, you can set a higher percentage for those ones.
  • Enter the competences that align with this job role. Note: you must have a minimum of 3 competences and no more than 10.
  • Select Save & Exit when you finish.

Using job roles for succession planning

Flow Learning succession planning can be used to track potentially suitable candidates based on linked competencies. Learners that meet the right criteria (ie. they have achieved at least one of the competences required by their job role) will be listed.

  • Visit Company > Succession planning
  • Select from the listed job roles to see eligible learners
  • Use Export to create a report containing the candidates

Using tags to customise learning for job roles

Job roles can be set up with specific tags that make specific content available to learners with those roles. This allows Training Managers to guide learners toward the most relevant material, improving onboarding and development efficiency.

To help surface the most relevant training, you can associate Explore Learning tags directly with job roles, enabling learners to access prioritised content in the Mapal One app.

Manage job roles

Job roles

Job roles are a way of mapping many job titles to the same role. You may have several Job Titles within a Job Role. For example, titles like Chef A, Chef B, and Chef C may be all under the Chef role.

Configure a job role

  • Navigate to Company > Job Roles.
  • Select + Add.

In the Add Job Role screen, you will find two steps:

Details

This information provides a job description for the learner to gain further insight into what the role entails.

  • Enter Job Role* name.
  • Select if you want to Include the role in succession planning. This way, the suitable candidates will be flagged.
  • Select if you want to activate this as a Vacancy in your company.
  • Enter the Job Role Overview*. This is a brief description of the role (Up to 1000 characters).
  • Select Corresponding Job Titles from the dropdown. You can select as many as necessary.
  • You can also upload an image to represent the role and a PDF file for further information about the role.
  • Select Next.

Competences

Link competences that are relevant to this role. Only competences that have ratings enabled will be available for selection.

  • Select if you want to Enable weighting customization.
  • Select all the necessary Competences. There must be a minimum of 3 and a maximum of 10.
  • Select Save & Exit.

The Job Role will now be registered in the grid. You can now Edit or Delete the roles as needed by using the action button (three dots) at the far right of the role’s row.

Using tags to customise learning for Job Roles

To help surface the most relevant training, you can associate Explore Learning tags directly with Job Roles. This enables learners to access prioritised content in the Mapal One app that aligns with their specific role.

When tags are assigned to a Job Role and the Restrict Explore Learning to tags toggle is enabled:

  • Learners will initially only see content with the assigned tags in Explore Learning.

  • They can still adjust these filters to explore additional content, depending on what is available within your company.

Typical use case: This feature is especially helpful for organisations with large content libraries. It allows Training Managers to guide learners toward the most relevant material, improving onboarding and development efficiency.

To configure:

  • Select the specific Job Role to edit.

  • Scroll down to the bottom and toggle Restrict Explore Learning to tags.

  • In the Tags field, type the names of specific tags and select them. You can add multiple tags.

View career maps in Mapal One

Start from: the Mapal One dashboard.
You’ll also see a chart showing the key skills needed for this role and how well a learner’s competences match up to them. This is based on the competence ratings given by both the manager and the learner.

This feature enables you to create various types of resources, including custom modules, external links to videos or articles, and downloadable PDFs and images. By offering these additional learning items, you can tailor the learning experience to better meet the needs of your team, ensuring they have access to a wider range of educational materials.

Tagging Additional Learning content

To ensure learners receive relevant content recommendations based on their job roles, it’s essential to tag your Additional Learning items correctly.

When adding or editing a resource:

 This helps personalise the learning experience for each employee, connecting them to content that aligns with their development goals.
