As a restaurant manager, you want to track and manage claims created by reporting non-compliance during receptions, to ensure they are taken into account by your suppliers and/or your purchasing department. This guide will assist you in this process.

A claim is always generated from a reception. It can be linked to a credit note request created manually or automatically by Easilys if it detects a discrepancy between the order and the delivery or between the delivery and the reception. It can also be created manually without being linked to a credit note request. This allows you to keep a record of a non-compliance during delivery.
When you validate the reception containing claims, you can find these claims in a dedicated screen for tracking. As shown below, you can view, print and/or send them by email according to your organization. Once the claim is processed, you can set its status to Completed for effective tracking.
- Select the Supplier orders > Claims tabs.
You will find all generated claims. (1)
- Filter by status and/or by suppliers to more easily find the claim you are looking for. (2)
- Select the claim you want to view in detail and/or send to the supplier, if this was not done automatically when validating the reception.The details will be displayed on the screen.
Note: Automatic sending of claims can be configured on the supplier record. For more information, see the article Create a new supplier record.
- Add, if necessary, tracking comments. (3)
- Download or print the claim, if necessary, by selecting Reports. (4)
- Send the claim, if necessary, by choosing the sending method if several are available. (5)
- Once sent, the claim changes to "Sent" status.
- For tracking, you can select Complete at the bottom right of the claim form when the claim has been processed by the supplier. The claim then changes to "Completed" status.
- If the claim is linked to a credit note request, select the breadcrumb and select the credit note request form to automatically go to the "Credit note requests" screen, and directly to the credit note request form to process it.
