As a restaurant manager, you must use the pre-order functionality for some of your suppliers to inform them of your purchasing intentions for a given date. This way, they can ensure they have enough stock to fulfill the upcoming firm order.
Start from: The Easilys menu
Pre-orders can be modified as you wish, up to the order deadline set in the supplier's record. Resending a pre-order to a supplier will cancel and replace the previous one.
Once the order deadline has been reached, it will no longer be possible to send a pre-order.
Configure a pre-order submission to a supplier
- Select the Products > Suppliers tabs.
- Select the relevant supplier record.
- Select Edit.
- In the Orders tab, check the "Use pre-orders" option. You can choose whether or not to enable the "Automatically close an order at the deadline" option. The impact of this option is explained below.
- Then select Save at the bottom of the supplier record.
You can now send pre-orders to your supplier.
Example of a pre-order with a supplier
When an order is sent before the order deadline set in the supplier's record, your order basket will be sent to the supplier as a pre-order.
This will be indicated by information added to your order basket. In the example below:
- The pre-order was sent on January 3, for delivery on January 6
- The order deadline is A for A, before 10 a.m.
> Until January 6 at 10 a.m., the order basket will be a pre-order.
- Depending on whether the "Automatically close an order at the deadline" option is enabled (see below), the firm order will be sent automatically or you will have to send it on the order deadline day.
Warning: don't forget to select Send at the bottom of the order form, even if it's a pre-order, so that the supplier can receive it.
Enable or disable the "Automatically close an order at the deadline" option
This option can only be enabled in the supplier record when the pre-order option is enabled.
If you do not enable the option: you will need to resend the order basket on the order deadline day, so that the supplier can receive the final order form.
If you enable the option: the pre-order basket will automatically become an order and will be sent directly to the supplier when the pre-order deadline is exceeded.
Note: the status and settings of an order or pre-order in progress with a supplier will not be affected if the supplier record settings are changed at the same time or after their creation.
Example: An order basket is created without being sent to a supplier for whom the pre-order functionality is disabled. I go to the supplier's record to enable the pre-order functionality. This will have no effect on the order basket or pre-order already created before pre-orders are enabled. However, any new order baskets created after this change will automatically become pre-orders.
